Job Description
The incumbents can either perform centralized administrative support functions and report to the Management Assistant, or provide administrative support to the teams reporting hierarchically to the Head of the unit or the Head of the service. , or his or her deputy. When these positions provide support in a specific sector of activity, they may report to the Head of the unit in question, to the Head of Service, or to his or her deputy.
At this level, work is performed with minimal supervision. Incumbents are expected to produce structured and precise work and to carry out specific management support activities. They can provide guidance on current practices to other less experienced staff working in their area of work.
OBJECTIVES ATTACHED TO THE POSITION:
Perform routine managerial support tasks in a specialized business area to aid inefficient service delivery.
MAIN DUTIES AND RESPONSIBILITIES (indicative and non-exhaustive list):
- Gather information for inclusion in reports, correspondence, and various other documents to help other staff members work effectively.
- Respond to common questions and provide specific guidance in a timely manner.
- Process and manage routine administrative and financial tasks in various functional areas to aid in efficient and timely management of resources.
- Manage and populate files and databases to ensure that information is structured and that staff can easily access it. 5
- Maintain relationships with a variety of people by providing management assistance to facilitate information sharing and service delivery to staff.
- Proofread reports, letters, and various other documents, correcting them if necessary in accordance with established guidelines.
- Contribute to the improvement of operating procedures.
- Collect data and perform simple analyzes to aid in the effective management of management information.
- Provide guidance to less experienced colleagues to help them carry out their tasks
MINIMUM LEVEL OF QUALIFICATION AND PROFESSIONAL EXPERIENCE REQUIRED:
Training:
- Baccalaureate. However, a qualification in the field of management, administration, or finance is preferable.
Professional experience:
- At least five years of progressively responsible professional experience in the relevant field, together with administrative work experience
Knowledge and skills:
- Well-versed in the use of office equipment and software packages such as Microsoft Word.
- Knowledge of the current procedures and methods to be applied to carry out the requested work with minimal supervision.
- Ability to be tactful and courteous when exchanging information with people of various backgrounds.
- Ability to identify anomalies in data and correct problems requiring special attention.
- Ability to provide guidance or provide basic on-the-job training to less experienced staff.
Languages:
- Have a mastery of French and a working knowledge (level C) or limited (level B) of English.
