Data Assistant Job Description

A Data Assistant’s role is to perform support tasks in data management procedures. Their responsibilities often revolve around coordinating with different departments to gather data, maintaining and updating databases, processing and organizing documentation, preparing progress reports, and analyzing data as needed.

The mission of WHO’s Health Emergencies Programme (The Programme) is to build the capacity of Member States to manage health emergency risks and, when national capacities are overwhelmed, to lead and coordinate the international health response to contain outbreaks and to provide effective relief and recovery to affected populations. The Management & Administration Department of the Health Emergencies Programme is responsible for effective management and administrative support for the emergencies program and for ensuring that WHO emergency operations are rapidly and sustainably financed and staffed. This consists of the provision of high-quality, predictable administrative services (i.e. HR, Finance, work planning, grant management) to the Emergency Programme, including during emergency response, as well as effective monitoring of (and compliance with) SOPs, leading to continuous improvement and business process excellence.

DESCRIPTION OF DUTIES

Within the framework of the delegated authority, the incumbent is assigned all or part of the following responsibilities:

  • Support the Data Manager in consolidating data from different sources and processing data, using initiative to check entries to ensure that they meet high accuracy and data quality standards.
  • Data Assistant Process and update records, including data entry, scanning, and filing of documents to maintain client records and archive systems in accordance with departmental procedure, policy, and statutory requirements.
  • Assist in the development and application of standards, information technology tools, and solutions for data integration and information sharing.
  • Check, analyze and validate data and assist the Data Manager by preparing statistical tables and charts for reports and technical documents.
  • Data Assistant Responds to data requests from the managers and counterparts in other work units and from technical units across the three levels of the organization.
  • Data Assistant Maintain updated and efficient data management system, tracking system, records, and statistics, and prepare periodic reports.
  • Data Assistant Perform other related duties including replacing and backstopping as required.

REQUIRED QUALIFICATIONS

Education

Essential: Completion of secondary school education or equivalent.

Desirable: Higher education in the field of computer science.

Experience

Essential: At least 5 years of relevant experience in information management, IT systems support, data collection, and data management support.

Desirable: Two years experience in related area(s) of work dealing with databases utilizing the various IT systems. Work experience in an international environment.

Skills

  • Three competencies are considered to be mandatory for all WHO staff: “Teamwork”, “Respecting and promoting individual and cultural differences”, “Communication”.
  • Knowledge of the related WHO rules and regulations, procedures, and practices.
  • Knowledge of modern office technology and IT applications Office ERP systems.
  • Ability to work and produce results under pressure and meet deadlines.
  • Good analytical skills.
  • High level of judgment and initiative.
  • Good database management skills are essential.
  • Attention to detail.

 Language Skills

Essential: Expert knowledge of English ​​
Desirable: Intermediate knowledge of French

REMUNERATION

WHO offers staff in the General Services category an attractive remuneration package, which for the above position includes an annual net base salary starting at CHF 75,384 (subject to mandatory deductions for pension contributions and health insurance, as applicable) and 30 days of annual leave.
